USEP ENROLLMENT PROCEDURE

Use Case Name:

USEP Enrollment System


Brief Description:

University of Southeastern Philippines' Student's Enrollment procedure for scholars and non-scholars.


Actors:

Student, Student's Organization treasurers, Adviser,NSTP Coordinator/s, Encoder, Cashier, Registrar, Librarian



Procedure flow:

  1. The student pays for his/her clubs and organization fees to his/her respective local council treasurer. He/she must also pay the Headlight and the OCSC treasurers.
  2. If the student is a scholar, he/she must renew or validate his/her scholarship to the OSS office.
  3. The student will proceed to his/her college adviser for grade evaluation and checking. The adviser will be the one to secure PRF and what will be the subjects the student can enroll.
  4. When a student has NSTP (ROTC or CWTS), he/she must proceed to the NSTP offices first to be able to enroll the course.
  5. After filling out the PRF , the student will proceed to the encoder for encoding.
  6. When subject are encoded, the student goes to the finance department to pay for matriculation. When a student is a scholar, he/she may proceed to the bookkeeper and will not pay the matriculation to the cashier.
  7. After the payment has been done, the student proceeds to the registrar for checking of the enrollment requirements. The registrar will be the one to accept or reject the student's enrollment.
  8. After the student's COR has been marked "OFFICIALLY ENROLLED", he/she can go to the librarian for validation of the e-library card.
  9. Enrollment complete!!!
